A student management system is used by educational institutions to handles all sorts of data necessary for running a system of higher education. Originally created to handle student records, their function has expanded to handle most operations in schools, colleges and universities. Some of the more intriguing uses include electronic grade books that are capable of entering student test scores and other assessment data, interact with other computers to transmit financial data, create student schedules and schedule changes, track attendance figures and manage important information relating to sports and extra-curricular activities.
Student management systems keep current and former transcript records of students. Many paper records of former students are entered into the system, but many other records are archived, depending on the age of the records and the schools cutoff decision. Transcribing old records can be time-consuming and it is not always economically feasible to enter all records into the system.
The student management system is also known by other names including student information management system, campus management system or school management system. The size and scope of individual programs vary tremendously. Small schools may only keep student transcript data. Large multi-campus systems may be extraordinarily complex. Adding modules can expand many systems. Information is usually stored on a central server but that is beginning to change. More institutions are opting for Internet storage because it enhances other advanced capabilities.
These capabilities include allowing parents and students to access some records and functions online. Financial data can be shared with federal agencies, educational lenders and others to expedite financial aid decisions for college and university students. Many state, federal, and provincial reporting agencies require reporting data that is easily shared between computers in this manner. Advanced capabilities can also integrate student information systems with diagnostic and scheduling tools to address educational deficiencies or encourage gifted students advancement.
Traditional data that has been stored for years on centralized servers include the following information:
- Managing the admissions process
- Handling student inquiries
- Creating teacher and class schedules
- Handling records and transcripts of students
- Maintaining records of student disciplinary action
- Keeping student health records
- Handling budgeting and accounting
- Providing important statistics
New systems can do much more, but upgrades have drawbacks that need to be considered. Upgrades can disrupt school schedules and workflow. Everything will change when a new SMS is brought online. The new program may not be compatible with the old, requiring serious conversion headaches. It will take a considerable amount of time to convert old records. The greater the amount of data, the more records there will be needing conversion. This can be a daunting task.
It will also be necessary to provide extensive training for personnel in how to operate the new equipment and software. There is no standardization in the various SMS programs, so upgrades can have some serious consequences. Conversely, the sooner schools make the transition, the fewer number of records will need conversion. It remains an overwhelming likelihood that most schools will need to convert to an online system sometime in the future.
